What Does a Convention Photographer Do?

A convention photographer documents the exhibit floor, booth activity, keynote and general sessions, registration flow, and sponsor activations across a multi-day show, then delivers on a rolling basis so exhibitors and marketing can publish while the show is still running.

Convention coverage is a different assignment from conference coverage. A conference is mostly rooms and sessions. Meanwhile a convention photographer adds a show floor with hundreds of exhibitors, each of whom has paid for presence and expects documentation of it. Consequently that floor operates on its own schedule, with its own lighting problems, and it does not pause for photography.

Why Does a Convention Photographer Rarely Work Alone?

Because the show floor and the keynote hall run at the same time, and one photographer standing in a general session is not walking the floor documenting exhibitor booths.

Furthermore every exhibitor on that floor paid for presence and expects documentation of it. That is a contractual deliverable rather than a courtesy. Therefore a solo shooter who spends the keynote hour in the hall has an hour less to reach 200 booths, and the exhibitors who get missed are the ones who notice at renewal time.

Elevation runs a staff team of seven photographers and five videographers. Every one has been on the team at least three years and our senior photographer nine, so the crew working your show floor is not assembled from a gig board the week before. One works the floor route while another covers the general session. Meanwhile every photographer is briefed off the same show schedule, so the exhibitor gallery reads as one consistent set.

What Is Included in Convention Photographer Coverage?

Exhibit Floor Convention Photographer Coverage

A convention photographer schedules individual booth documentation around staff availability, plus wide floor frames that establish scale. Exhibitors need proof of presence and traffic, and consequently that is a contractual deliverable rather than a courtesy. See trade show photography.

Keynote and General Session

Main stage coverage runs from multiple positions. Additionally it is coordinated with AV on lighting and LED refresh rates before load-in. Therefore large halls get long glass and planned positions rather than improvisation.

Registration and Arrivals

Meanwhile badge pickup and the opening rush are the first impression of the show and the easiest attendance proof to capture. Consequently they are shot early, before the floor opens and everyone disperses.

Sponsor Activations

Branded installations, hospitality suites, lounges, and logo placement. Additionally each is documented with the specificity sponsors need for renewal conversations and return reporting.

Attendee Engagement

Genuine interaction at booths, demo stations, and networking areas. Furthermore these read as candid rather than staged. Meanwhile these are the frames that sell next year's exhibit space, because they show a floor that was actually busy.

The Difference

How Is a Convention Photographer Different From Conference Coverage?

Scale and the show floor. A conference is sessions in rooms. A convention adds an exhibit hall where hundreds of paying exhibitors expect individual documentation, under high-bay lighting that mixes color temperatures and defeats automatic white balance.

Show floor lighting is the technical problem no convention photographer gets warned about. Convention halls run high-bay metal halide or LED fixtures, often mixed, often supplemented by whatever each exhibitor brought. Consequently skin tone shifts booth to booth, and correcting that at the source rather than in post is the difference between a usable exhibitor gallery and a color-inconsistent mess.

Access is the other difference. Convention centers operate under labor agreements that govern who can touch power, rigging, and floor markings. Therefore a photographer who understands those rules works the floor without creating a problem, while one who does not gets stopped.

Book Booth Coverage Before the Floor Opens

Exhibitors want their booth photographed with people in it, but they also want it photographed clean. Those are two different shots taken at two different times, and consequently the clean one has to happen before doors open or during a scheduled lull.
