How to Build an Event Photography Budget
Three steps and the arithmetic is done. Count the hours, decide the crew, add the backdrop if it fits.

Step One
Count the Coverage Hours First
From the first frame you want to the last, including setup shots before doors. Hours are the whole calculation, and an event photography budget built any other way drifts.
Photography is $245 per hour with a two-hour minimum. Therefore a two-hour recognition dinner is $490. A six-hour conference day is $1,470. A three-day program at eight hours a day is $5,880 for a single photographer.
Most planners underestimate by an hour because they start the clock at doors rather than at load-in. Consequently the room shots, the empty stage, and the branding details get missed. Use the shot list and run-of-show template to work out what your program actually needs.

Step Two
Decide the Crew Before You Set the Event Photography Budget
One question settles it. If two things you care about happen at the same time, one photographer will miss one of them.
Single track, one shooter. A linear program with one room works with one photographer regardless of headcount. Therefore a 400-person keynote is still a one-person job if nothing runs concurrently.
Concurrent breakouts, add a second. Crew follows the agenda rather than the guest list. Meanwhile each additional person adds their hourly rate, and the count gets scoped against your session grid rather than guessed at.

Step Three — The Only Add-On With a Price
Exactly one line item sits outside the hourly rate: the mobile headshot backdrop at $299 per day, flat regardless of headcount. Therefore if leadership is assembled and there is a window during registration or a break, it produces assets that would otherwise need a separate session. See event headshots.
Everything else planners expect to be billed separately is already inside the hour: culling, colour correction, retouching, full commercial rights, and 24-hour highlights with the gallery in one week. Additionally there is no travel premium anywhere in Southern California.
