What changes for cost, image rights, and delivery when your Los Angeles event books photography one way or the other.

On a planner-led event, photography is usually one line inside a larger production contract. The planner sources the photographer, sets the schedule, and passes the cost through to you.

On a direct booking, your company holds the contract. You set the brief, approve the shot list, and receive the files. Your planner, if you have one, still runs the day. The photographer answers to your team on deliverables.

Cost: Where the Difference Usually Shows Up

Planners earn their fee. Sourcing vendors, managing the run-of-show, and solving problems on site is real work. Some planners pass vendor costs through at cost. Others add a markup or a coordination fee to every vendor they manage.

Image Rights and File Ownership

This is the question most teams skip, and the one that costs the most down the line.

When a planner holds the photography contract, usage rights are written between the planner and the photographer. Your company may receive the images with limited rights, or with rights nobody spelled out. That becomes a problem the day legal asks about paid ads, a press release, or next year's registration campaign.

When you hire an event photographer directly, the license is written to your company. Confirm three things in writing:

  • Full commercial usage across web, social, press, and paid media
  • No per-image licensing and no renewal fees
  • Who receives the full-resolution files, and when

The Middle Path: Book Direct, Coordinate Through Your Planner

Many in-house teams split it. The company signs directly with the photographer for pricing and rights, and the planner coordinates timing, access, and on-site logistics. The invoice stays clean and the planner stays in control of the day.
